Car Service for Investor Roadshows in NYC.

Plan investor roadshow car service in NYC with a versioned manifest, TLC-licensed providers, pickup contacts, release cutoffs and full cost checks.

An investor roadshow day isn’t one long ride. It’s a sequence of protected meeting slots. Each spot on a transportation manifest shows who needs to move, where, and when the “inside” arrival time is. Book cars only through TLC-licensed bases. Create one master manifest which lists how the executives will move, and make it version-controlled. One person owns the manifest and is empowered to handle all decisions with the provider and hosts. That includes what to do when anyone is late.

Pick that car service based on its drivers and its dispatchers, rather than their cars and their marketing. Who drives you matters more than what kind of car you get into. In NYC every for-hire trip is required to go through a TLC-licensed base, with a TLC-licensed driver in a TLC-licensed vehicle. Further, a black car base will only take pre-arranged trips, and all plates and base numbers can be checked against the TLC’s daily-updated active vehicle list on NYC Open Data to be sure they are active and in good standing. A TLC-licensed driver in NYC cannot carry passengers more than 10 hours total in a 24 hour period, unless he or she has had 8 straight hours with no passengers first. If your roadshow runs a full day, tell your car service provider now how you want them to schedule reliefs.

A Numbered Leg on the Manifest

Turn every meeting, lunch, or break into a numbered leg on the manifest, with an address or location, an executive to be transported, a pickup time and a drop-off time. Each leg needs an origin, a destination, and a point of contact at each. A dot on a map doesn’t equal a street corner, a hotel, or a parking lot or driveway. Talk with hosts to find out how your principal will make contact to actually get into the car. Build backward from internal arrival times and keep travel times real.

Release time is the last possible time of the whole group getting into the car to go to the next destination. Delay in leaving will make the next meeting late or cut it short, unless the host can reschedule for a later time. The manifest owner can shorten a meeting, cancel an optional stop, split attendees or approve waiting. Your driver does not decide who to wait for, who not to wait for.

Protect the next planned activity by finishing the current one, or by skipping an optional stop, before it goes past the release checkpoint. Decide when you want to be at the airport check-in desk, and subtract the car service provider’s trip plan, not the official drive time estimate or any internet calculation.

If your roadshow includes an airport arrival, keep it simple. The most basic flow means you write down the operating flight, the arrival airport, the traveler phone, how many bags, and the ground operator’s meeting procedure. Knowing the plane landed is no guarantee the traveler will be on time.

The Full Bill

Get the provider to commit to the cost for the current actual or planned itinerary. Compare apples to apples, with a note about whether the price is for consecutive legs or hourly and does it include wait time or change-of-plans. Check tolls, wait and parking too. Black cars and limousines pay New York State’s sales tax. New York State generally adds an extra $2.75 surcharge on every non-shared ride that starts, ends or passes through the area below 96th Street in Manhattan too. Ask your provider to tell you the full bill in the quote.

A Single Source of Truth

Keep the master manifest as the single source of truth. Name every version with a date and time. When someone joins or leaves, run the change through the master and send the new version to the roadshow lead, executive assistant and your provider. One log of changes, with sender, change, version, response time and changes accepted or denied. If you find out you need to start using two vehicles on the day, fix the manifest again, put the provider on notice and get a confirmation of the change.

Ask the provider if they will commit to confidentiality or non-disclosure before providing them confidential content, for example a detailed meeting agenda or presentation materials. If the drivers need a piece of information to guide them, like the contact’s name, provide that.

From each host, get your arrival location, any registration or escort at building security, the host’s contact and meeting start time. A company’s headquarters address doesn’t equal the entrance to the visitor lobby. At a working meal, have the provider confirm how the chauffeur may make contact for pickup when standing or waiting is not lawful.

Make a control check before the first vehicle departs. At this point, you should have a confirmed version number for the schedule, with all attendees on board and a written-out location name for where they get in. Keep the master alive at every departure, arrival and stop. State objective status, not a promise. Avoid pre-supposing “on time” before the host has accepted the travelers. Find out who is expecting a guest, and tell them that the guest will be late, using the prearranged channel.

A roadshow may split for parallel meetings. Every child leg has its own attendees, its own contact, its own car and its own required arrival time. Pick the rejoin location and the rejoin cutoff. If one group runs late, the decision owner chooses whether other group waits or everyone proceeds to the next stop as they are ready. If a joiner changes the group makeup in the middle of the day, update every later leg and recount the bags.

Send the provider one brief: final manifest, authorized contacts, vehicle requests, confidentiality requests, fixed legs, flexible legs, release cutoffs, airport cutoff, billing reference and any revisions afterward. Ask the provider to come back with any leg that it cannot confirm, any other information it needs to clarify, and the procedure to handle day-of changes. For any leg the provider can’t confirm, have a backup ready: another approved provider will do. A meeting-format change counts too, if the decision owner agrees. Never, ever, ever use the word “guarantee” unless you have it in writing.

At the end of the day, lay the final manifest against the change log and run trip records against the invoice and against the original quote. Each change against its reason and any quote or approval. Review for next time: hard entrances, cutoffs set too late, contacts nobody could reach.
